Analytics — overview and how the numbers are counted

Included in all plansBackofficeFor managers

Needs: Any staff user with access to the location

The Analytics page turns your reservations into numbers for one location: today's service, upcoming demand, performance over a period, how guests use your booking widget, and how complete your data is.

Where to find it

Backoffice › Analytics (in the Analytics section of the main menu). Select the location first; without one the page says Select a location to view analytics.

What it does

The page has five tabs:

  • Today — live view of today's service (refreshes every minute).
  • Planning — volume, lead time, channel mix and the predictive outlook for upcoming weeks.
  • Performance — capacity utilisation, repeat guests, table efficiency, demand forecast and booking velocity.
  • Widget — the booking widget funnel, drop-offs and tips.
  • Data Quality — a score for how complete and consistent your reservation data is.

All tabs except Today use the date range picker at the top right. It opens on the last 30 days and has Presets: Today, Yesterday, Last 7 days, Last 14 days, Last 30 days, Last 90 days, This month, Last month. Click one date for a Single day, or two dates for a range.

How the numbers are counted

These rules apply across the tabs unless an article says otherwise:

  • Covers = the party size of reservations with the status confirmed, reconfirmed, reconfirmation requested, pending, seated or completed. Cancelled, no-show, late, awaiting payment and payment received reservations are not counted as covers.
  • Reservations in Total Reservations (Planning) count every reservation on the dates in the range, including cancelled ones and no-shows. Other reservation counts (for example Today's Covers Today subtext) use only the statuses above.
  • Dates are the reservation date, not the date the booking was made.
  • Duration: when a reservation has no duration, 90 minutes is assumed.
  • Seats and tables come from your floor plan (Table Management). Opening time comes from your location hours and shifts.
  • Repeat guests are recognised by the guest's email address.

Good to know

  • Analytics covers one location at a time. For a side-by-side view of several locations for one day, use the HQ Dashboard.
  • There is no export from the Analytics page.
  • The role permission "View analytics and reports" exists in Roles & Permissions, but the Analytics page is currently open to every staff user of the location.
  • No-shows are visible in Status Breakdown on the Today tab. There is no separate no-show rate.

Troubleshooting

Everything shows 0 or "No data for this period" Check the selected location and widen the date range. Make sure reservations exist on those dates.

Covers are lower than the number of guests I booked Cancelled, no-show, late and unpaid (awaiting payment) reservations are not counted as covers.

Capacity or table figures are 0 Your floor plan has no tables with seats, or your location has no opening hours/shifts for those days. Set them up in Table Management and Settings › Location hours and shifts.

"Failed to load …" messages A temporary loading problem. Reload the page, or click Retry on the Today tab.
