Use the Walk-in view (party size × table matrix)

Add-on: Walk-in seating (no extra charge, an admin turns it on)Host AppFor hosts

Needs: Any staff user

The Walk-in view answers the question at the door: "a table for four, now?" It shows, per party size, which tables are free right now, which free up soon, and which can be offered for a shorter visit, so you can seat or hold a table in one tap.

Where to find it

Host App › Service View › Walk-in button (people icon). On a phone: View › Walk-in.

The view is only offered when the Walk-in seating add-on is on (Backoffice › Settings › Add-ons, admins only). Sittings are set in Backoffice › Settings › Walk-in sittings.

What it does

  • Visit type tabs at the top (for example Dinner and Drink): each sitting has its own length per party size. The last choice is remembered on the device.
  • One row per party size, with a summary ("2 tables now", "1 opening soon", "1 short offer", "nothing now").
  • Table cells, tightest fit first:
    • Best fit – the table whose free window ends closest after the visit, so the next booking follows with the smallest gap.
    • fits / open – free now, long enough (open = nothing after it until close).
    • short – free now but not long enough; you can offer a shorter visit (at least 30 minutes).
    • in … min – frees up within 30 minutes; can be held.
    • at … – the next full-length window later today.
    • Held / just freed tags.
  • Footer: the best-fit rule and "Updated …". The header shows Live or Reconnecting….

How to seat a walk-in

  1. Choose the visit type.
  2. Tap a cell in the row for the party size.
  3. Check "Seat … at … until …". Adjust Party size, Duration or Notes if needed.
  4. Tap Seat. A message "Seated … at … · until …" appears with Undo.
  5. Optional: let the guest scan the QR code to add their own details ("Guest scans to add their details"), or type them under Guest details and tap Save & close.

For a short cell the sheet says "They'd need to leave by …"; tap They agree · Seat once the guests accept.

How to hold a table that frees soon

  1. Tap a cell marked in … min or at ….
  2. Under How to add choose Reservation ("Books … for …") or, with Digital queuing on, Queue (the guest waits in the queue and is messaged when the table frees).
  3. Tap Hold … min / Hold table or Add to queue.

A hold keeps the table for 15 minutes so nobody else takes it. Use Cancel hold, Remove from queue or Undo seating in the sheet to reverse it.

Good to know

  • Walk-ins can only be seated for today.
  • Tables are ordered by your timeline section order (Settings › Tables), then by fit.
  • The QR link expires; if it has expired the booking is kept and you can type the details.
  • The view can also be switched off per device in Settings › General › Service views.

Troubleshooting

The Walk-in button is missing The Walk-in seating add-on is off for this location, or the view is disabled on this device. Settings shows "Turn on the Walk-in add-on in the backoffice (Settings → Add-ons) to offer this view."

"No table for … right now — use the queue or the floor plan" Nothing fits that party size now or soon. Add the party to the queue or waitlist, or seat them by combining tables in Split view.

"Could not seat the walk-in. Please try again." / "Could not hold the table." The action did not save, usually a connection problem. Check the Live indicator and try again.

"QR code unavailable — type the details here" The guest link could not be created. Type the guest's details in the form instead.

The Queue option is missing when holding It needs the Digital queuing add-on and only works for a single table.
