Move, swap and combine tables

Tables change constantly during service. The Host App gives you several ways to move a booking or a seated party to other tables, swap two bookings, or spread a large party over several tables.

Where to find it

Mostly in Service View › Split, plus the timeline and the reservation details pane.

What it does

• Drag and drop (Split view): drag a reservation from the list or the floor plan onto another table. If that table holds another booking you can choose Swap tables or Double-book. A message confirms "Swapped … ↔ …" or "Added to … (with …)".
• Move seating chip: on a seated table, grab the Move seating chip and drag it, or tap tables. "Drag or tap tables; the placement that completes the party saves automatically."
• Manage seating (assignation mode): an editing mode where you select a reservation, tap the tables it should get, and confirm. A Manage seating summary panel shows Current, Moving to, Party / max and whether it Fits; tap Apply table assignment / Apply Changes, or Cancel move. It opens when you choose Reassign on a conflict.
• Move Party (table panel of a seated table): pick a free table from the list (Best fit first, Group options for combined tables).
• Assign Tables (details pane): tick or untick tables; swap or double-book with another booking from there.
• Timeline: drag a block to another table row (see "Move, resize and re-time reservations on the timeline").

How to move a booking to another table

1. Open Split view.
2. Drag the reservation onto the new table.
3. If the table is taken, choose Swap tables or Double-book.
4. Check the confirmation message.

How to combine tables for a large party

1. Drag the party onto the first table, or select it and tap a table.
2. A progress hint shows "… of … guests covered". Tap or drop on more tables until the whole party is covered; the last placement saves automatically.
3. Combined tables are labelled Combined in the list.

How to fix overlapping bookings

1. In Split view tap View conflicts (…) (or the Time conflict warning on a booking).
2. For each conflict choose Open, Auto resolve (picks the best free table or table group; it never changes the time) or Reassign (Manage seating mode).

Good to know

• Double-booking is disabled when both bookings are already seated.
• Moving a table never changes the booking time and never emails the guest.
• With Lightspeed POS connected, a seated party with an open check should be moved in the POS. The Host App shows "Move this party in Lightspeed" with Do it anyway.

Troubleshooting

"No available table combination fits this party." Auto resolve found no free table or group that fits. Move another booking first, or seat the party over tables manually.

"That table conflicts at this time, or reserve swap / double-book on one table." The table you tapped is busy at that time. Pick another table, or use drag and drop to get the swap / double-book choice.

"Failed to move reservation" / "Failed to swap tables" The change was not saved. Check your connection and try again.

A table cannot be chosen It is blocked or in maintenance. Open the table and tap Unblock Table if it should be usable.

After moving, Lightspeed moved the party back The check is still open on the old table in Lightspeed. Move the party in the POS so both stay in sync.
