Double-booking, occupied-table and limited-time warnings

Needs: Any staff user

The Host App lets staff override availability when they need to, but it always warns first. This article explains each warning and what choosing "anyway" really does.

Where to find it

These warnings appear in the reservation pane, the full reservation form (Floor plan view of the form), the table panel, the walk-in flows and when dragging on the timeline.

What it does

Table occupied / Double booking warning You picked a table that already has a booking at that time.

  • Reservation pane: "Table occupied – … is occupied around …" with Book anyway.
  • Full form: "Double booking warning – … is already occupied (conflict around …). Do you want to continue and overwrite by assigning this table anyway?" with Book anyway. Choosing it keeps both bookings on the table; both then show a Time conflict / double-booking marker.

Table no longer available (when saving) Another booking took the table while you were filling in the form. The error banner offers Book with overlap, which saves the booking anyway as a deliberate double booking.

Limited availability The table is free, but only for a shorter time than the booking's duration (until the next booking).

  • Reservation pane: "This table is only available for … minutes." with Use limited slot.
  • Full form: "Do you want to set the reservation duration to … minutes and select this table?" with Confirm limited duration. Choosing it shortens this booking so it ends before the next one.

Too small / Over capacity The selected tables seat fewer guests than the party.

  • Table lists mark them "Too small for … guests" (they can still be combined with other tables).
  • When editing: "Selected tables seat … for a party of … You can still save."
  • Seating on a single table: "Table Too Small – This table seats … but your party has … guests. Continue anyway?" The booking is then flagged Over capacity.

Walk-in on a table needed later "This table is needed at … for …, …p. Seat anyway?" The walk-in is seated, but its default stay overlaps the next booking.

Closed day / outside service hours "Watch out — you're booking on a day that is closed" or "…outside service hours. You can still reserve." This is only a warning; online guests still cannot book that time.

How to decide

  1. Read who the conflicting booking is and at what time.
  2. If the overlap is intentional (for example the earlier party will leave early), choose the "anyway" option.
  3. Otherwise pick another table, time or shorter duration.

Good to know

  • Staff overrides never change what guests can book online: the online widget keeps respecting availability, cut-offs and pacing.
  • Double bookings are listed under View conflicts in Split view and can be fixed with Auto resolve (finds the best free table, never changes the time) or Reassign.
  • When both bookings on a table are already seated, Double-book is disabled when dragging ("Both reservations are seated — double-book is disabled").

Troubleshooting

I double-booked by mistake Open Split view › View conflicts, then use Auto resolve or Reassign on one of the two bookings, or move it on the timeline.

Every table shows "Occupied until …" or "Unavailable for selected duration" The floor is full for that time and duration. Try another time, a shorter duration, or book with overlap if you are sure.

"No availability for … min. Next opening: …" No table or combination is free for the requested duration; the next time something opens is shown. Choose that time or adjust the duration.

"No single table fits. … group options available." Only combinations of tables fit this party. Select one of the group options.
