Read reservation cards and icons in the Host App
Every reservation in the Host App (list rows, timeline blocks, floor plan tables) carries the same small set of signals, so a host can see in one glance who needs attention. This article explains what they mean.
Where to find it
Any service view: Split view list, Timeline, List, and table cards on the floor plan. Hover (or long-press) a reservation to see a tooltip with all details.
What it does
Basics on every card: time, guest name, party size (covers), table, section, status, and a countdown ("in 20 min", "+5m late") or "Seated 19:42".
Signals, in order of importance
- Allergy (warning triangle): the booking or the guest's intake form lists allergies. Hover to read them.
- Cancellation risk ("May cancel" / "May cancel · called"): the guest tried to cancel in the guest app and was told to call. See "Cancellation risk flag".
- No-show history: the guest did not show up before (count and last date).
- Accessibility: wheelchair, hearing and other needs.
- Dietary (leaf): vegetarian, vegan, gluten-free etc.
- Children and strollers.
- Occasion (cake): birthday, anniversary, business…
- Requests / Internal notes / Guest booking notes / Profile notes: special requests from the guest, team-only notes on the reservation, notes from the intake or booking form, and notes on the guest profile.
- Returning guest.
- Time conflict: overlaps another reservation on the same table. Click it to open the conflicts list.
- Over capacity: the party is larger than the table(s) seat.
Other markers
- VIP crown, Messages badge for unread guest chat, Post-visit rating or feedback.
- Payment chip (deposit, payment link, paid, refunded) and POS state when Lightspeed is connected (for example "POS: table open").
- Labels: coloured label chips you choose per reservation, and an optional highlight colour.
- Squeeze: the booking was made online in a squeeze slot, a shorter seating fitted into a gap.
- Held till end of shift: the table is held for a VIP (see "VIPs, Guests today and holding a table for the rest of the shift").
- In queue: a digital-queue entry waiting for a table.
Good to know
- Cards drop the least important signals first when space is tight; a +N chip or "…" tooltip lists the rest.
- Simple display mode writes requests and notes out as text instead of icons, and makes time, name and party size bigger.
- Which information is shown can be tuned per device in Settings › General › Display mode (for example Guest profiles & history, Payments & POS, Reservation labels, Post-visit reviews).
- Comfort and Compact density change how much fits on a row.
Troubleshooting
I don't see allergy or note icons The device may use Simple mode (notes are written out as text) or Notes written out is on. Otherwise the booking has no such information.
Guest history, visit counts or tags are missing Guest profiles & history is switched off in Display mode, or the reservation is not linked to a guest profile.
The payment chip is missing Payments & POS is switched off in Display mode on this device.
A card says "Over capacity" but the guests fit The party size is higher than the seats set for the table in the Backoffice floor plan. Add a table to the booking or correct the table capacity.
"Time conflict" on a booking Two bookings overlap on the same table. Click the warning to see the conflicts and use Auto resolve or Reassign (see "Move, swap and combine tables").
