Give tables to reservations that have none (including imported bookings)
Some reservations arrive without a table: bookings imported from your previous reservation system, bookings saved with "unassign", or bookings that lost their table. The Host App collects them in a Needs table assignment block so nobody is forgotten, and can place them all in one tap.
Where to find it
Host App › Service View: the Needs table assignment block appears above the reservations in Split view, Timeline and List whenever the selected day has active reservations without a table.
What it does
- Lists every reservation of that day that has no table and is not cancelled, no-show or completed, with time, name, party size and status. Tap one to open it.
- Assign places all of them at once. It picks tables (and table groups/combinations) that fit each party size, taking the day's other bookings into account and avoiding overlaps where possible. Blocked tables and tables in maintenance are skipped.
- A message reports the result: "Assigned tables to … reservations", or "Assigned …. … still need a table." when some could not be placed.
How to assign tables
- Go to the day in the Service View.
- In Needs table assignment, tap Assign.
- Read the result message.
- Check the new tables in Split view or on the timeline, and move any booking you would rather place differently (see "Move, swap and combine tables").
- For the bookings that still need a table, open each one and pick tables yourself.
Good to know
- Imported bookings: when 10Seat support imports reservations from another system, bookings can arrive without tables if the export had none or the tables could not be mapped. Imports can also place bookings on tables by party size during the import. Ask support which option was used for your import.
- Because Assign aims to give everyone a table, it can place a booking on a table that overlaps another booking when nothing else fits. Look for Time conflict markers afterwards.
- The Print the day overview ("Before doors open") also counts reservations that still have no table.
- In Work without tables mode (beta), bookings without a table are normal and this block is not shown.
Troubleshooting
"No matching table or table group for these parties." No table or table group is big enough for these party sizes. Check table capacities and table groups in the Backoffice, or seat the party over several tables by hand.
"Could not save table assignments. Try again." The assignments were calculated but could not be saved, usually because of the connection. Tap Assign again.
After Assign, several bookings show Time conflict The day was too full to place everyone without overlap. Use View conflicts in Split view to resolve them one by one.
The block does not appear although bookings have no table The bookings are cancelled, no-show or completed, the location works without tables, or you are looking at another date.
