Move your data from Zenchef, Formitable or another reservation system
When you switch to 10Seat, the 10Seat team moves your existing data across for you — upcoming reservations, guests and, where available, gift vouchers. To do that we need a login to your current system, which you hand over through a one-off secure link.
Where to find it
The link comes from your 10Seat contact during onboarding. It opens a page titled Your current reservation system. There is no import screen in the backoffice — imports are run by 10Seat.
What it does
- The page asks Which system are you using now? with: Zenchef, Formitable, GoTable, WeReserve, Guestplan, Table Fever, Resengo, OpenTable, TheFork, or Other (then Which one?).
- You enter the Username and Password of a login to that system, plus an optional note (Anything we should know?) — for example where to log in, which venue, or whether a code is sent by text message.
- The password is stored encrypted, but the 10Seat team can read it, because we use it to log in. The page says so: "We will be able to see this password".
- 10Seat then imports your data: sections and tables (they can be mapped onto a floor plan you already built), reservations, guest lists, and gift vouchers (including Formitable vouchers exported to Excel).
How to send us your login
- In your current system, create a new user for 10Seat rather than sharing your own login.
- Give that user a password you don't use anywhere else.
- Open the link from your 10Seat contact.
- Choose your system under Which system are you using now?.
- Fill in Username and Password, and add a note if useful.
- Click Send it to 10seat. You see "Thank you — we have it".
- Once your migration is done, delete the user you made for us.
Good to know
- Sending the form again replaces the login sent earlier ("You already sent us a login… Filling this in again replaces it."). Use Send a different login on the thank-you page to correct a mistake.
- If you are moving from a spreadsheet or paper, there is nothing to log into — send your files to your 10Seat contact instead.
- Imported reservations show an import as their source. When the import carries the old system's booking references, a second import run updates those reservations instead of creating duplicates.
- Check imported upcoming reservations and their tables in the Host app before your first service on 10Seat.
Troubleshooting
"This link does not work" / "This link is not valid." The link is incomplete or has been withdrawn. Copy the full link from the message again, or ask your 10Seat contact for a new one.
"This link is no longer valid. Ask your contact for a new one." The link was revoked. Ask your 10Seat contact for a new link.
"Too many attempts. Try again in a few minutes." Wait a few minutes and send the form again.
"Choose the system you are moving from." / "Fill in the username." / "Fill in the password." / "Tell us which system it is." A required field is empty. Complete it and send again.
Some reservations or guests are missing after the migration Contact your 10Seat contact or support with examples; the team can re-run or complete the import.
