Lightspeed POS indicators in the Host App

Add-on: Lightspeed POSHost AppFor hosts

Needs: Any staff user

When Lightspeed POS is connected, the Host App shows small indicators that tell the host whether the POS link is working, and it asks you to do certain changes in the POS instead of in 10Seat. This article explains each indicator. How the POS and 10Seat share a seated party is covered in "Working with Lightspeed during service".

Where to find it

  • Header (top right on desktop, top bar on a phone): POS status badges.
  • Above the service screen: the unmapped-receipts banner.
  • On reservation cards and in the details pane: POS seating state and receipts.

What it does

Connection and sync badges (only shown when something is wrong):

  • POS sync delayed (over 10 min) – no successful sync with Lightspeed for more than 10 minutes.
  • POS token error — check Lightspeed connection – Lightspeed refused the connection (the login/token is no longer valid).
  • A Wi-Fi-off icon: "POS connection status temporarily unavailable; showing last known state." – the Host App could not refresh the connection status and shows the last known one.

Unmapped receipts banner: "… active POS receipt(s) have no table mapping — map tables in settings." Open checks in Lightspeed are on tables that are not linked to 10Seat tables.

Seating state on a card: POS: opening table…, POS: table open, POS: seating failed. A failed seat can also pop up as "POS seating failed for reservation … — open Service to retry."

POS receipts: the details pane and the table panel show the linked receipt with items, covers, payments and tip.

"Do it in the POS" prompts for a seated party with an open check: moving, changing tables, completing, cancelling or marking a no-show asks you to do it in Lightspeed. Do it anyway lets you go ahead in 10Seat for the next 2 minutes.

Good to know

  • With Lightspeed connected, seated reservations complete when the check is closed in the POS, not automatically by time. Complete may show "Completion is managed from the POS".
  • POS badges and receipt chips are part of the Payments & POS display toggle; switching it off on a device hides them.

Troubleshooting

"POS token error — check Lightspeed connection" The Lightspeed connection needs to be renewed. An admin reconnects Lightspeed in the Backoffice (Settings › Add-ons › Lightspeed POS). See the Lightspeed troubleshooting articles.

"POS sync delayed (over 10 min)" Lightspeed updates are not arriving. Check that the POS is online. If it persists, contact 10Seat support.

"… active POS receipt(s) have no table mapping" Map the Lightspeed tables to your 10Seat tables in the Lightspeed settings in the Backoffice.

"POS: seating failed" on a reservation The table could not be opened in Lightspeed. Open the reservation and seat it again, or open the table directly in the POS.

I can't complete or move a seated party The check is still open in Lightspeed. Close or move it in the POS; use Do it anyway only if the check is already closed or merged.
