Working with Lightspeed during service
When Lightspeed (K-Series or L-Series) is connected, the POS leads a party once it is seated: the open check decides the table and when the visit ends. This article explains what hosts see in the Host app and what to do in Lightspeed instead of 10Seat.
Where to find it
Host app › service views (floor plan, timeline, reservation details). Receipts also appear on the guest profile in the Host app and the backoffice under POS receipts.
What it does
- Seating: when you seat a party on a mapped table, 10Seat opens the table on the POS. The reservation shows POS: opening table…, then POS: table open, or POS: seating failed if it didn't work.
- Receipts on the reservation: the reservation details show the linked Lightspeed receipts with items and covers, or "No linked receipt found."
- Visit end: a seated party completes automatically when its check is closed in Lightspeed. The reservation shows Completed (via POS). Screens show "Completion is managed from the POS".
- Running late: while the check stays open, the party's block on the timeline keeps growing past its booked end and the table stays occupied.
- Guest profile: POS receipts lists each receipt with status Open, Paid or Cancelled, total and line items.
How to handle a seated party with an open check
When you try one of these on a seated party with an open check, the Host app stops you and explains why:
- Move to another table → "Move this party in Lightspeed"
- Add or change tables → "Change tables in Lightspeed"
- Cancel or mark no-show → "Close the check in Lightspeed"
- Complete → "Close the check in Lightspeed"
- Preferably, do the change in Lightspeed. 10Seat follows automatically.
- If you really must do it in 10Seat (for example the check was already closed or merged into another check), click Do it anyway. You then have 2 minutes to change that reservation ("Override on: you can change this reservation for the next 2 minutes.").
Good to know
- Changes made in 10Seat on a seated party can be undone by Lightspeed on the next update of the check — that is why the POS should lead.
- The Auto-complete reservations booking rule has no effect while Lightspeed is connected.
- POS chips and receipt status are part of the Host app Display mode (feature Payments & POS); if you don't see them, check that setting on the device.
- The Host app may show a POS status badge: POS healthy, POS sync delayed (over 10 min) or POS token error — check Lightspeed connection.
Troubleshooting
"POS seating failed — retry from reservation" Open the reservation and retry seating. If it fails again, check that the table is mapped (Settings › Integrations › POS integration) and that the connection is active.
"Finish this seated check in Lightspeed POS first." The table still has an open check. Close or move it in Lightspeed, then try again.
The party left but still shows as seated Their check is still open in Lightspeed (or a second, split check is). Close every check for the party in Lightspeed.
"POS token error — check Lightspeed connection" The Lightspeed connection needs attention. Ask an admin to open the POS integration page, refresh the token or reconnect.
"POS connection status temporarily unavailable; showing last known state." The Host app could not read the latest POS status. Service continues; it updates when the connection recovers.
