What syncs between 10Seat and Lightspeed K-Series

Add-on: Lightspeed POS — enabled for your location by 10SeatIntegrationsFor managers

Needs: Admin role to change the Push reservations to K-Series setting

This article explains, direction by direction, what 10Seat sends to Lightspeed K-Series and what it takes back, including how prepaid deposits and refunds reach the POS.

Where to find it

The sync runs automatically once the K-Series tab under Backoffice › Settings › Integrations › POS integration shows Restaurant integration activated and Push reservations to K-Series is on.

What it does

10Seat → Lightspeed (needs Push reservations to K-Series on)

  • New reservations and status changes are sent to Lightspeed with your 10Seat reservation ID: confirmed bookings as scheduled, held bookings as on hold, seated, completed (departed), cancelled and no-show.
  • Seating a guest sends the mapped Lightspeed table, so the POS can open the bill on the right table.
  • Walk-ins created in 10Seat are sent as seated while they are at the table; when you complete, cancel or mark them no-show, that status is sent too.
  • Prepaid money is sent with the reservation: paid booking deposits, paid payment requests sent by staff, and refunds. Each push carries the full list, so a payment that no longer counts is marked void on the POS, and a changed amount replaces the old entry.
  • Not sent: changes that don't matter to the POS, bookings that started as a Lightspeed bill (they already exist there), and table or duration changes on a party that is already seated — the open bill owns the table then.

Lightspeed → 10Seat (works as soon as the location is linked)

  • Bills opened, updated and closed in Lightspeed appear on the reservation in the Host app and on the guest profile under POS receipts.
  • When the last open bill linked to a party is closed or cancelled in Lightspeed, the reservation completes in 10Seat with the bill's closing time — whether or not the bill was paid. The bill amount becomes the reservation's spend and is added to the guest profile.
  • If the bill was opened before staff pressed Seat in 10Seat, the seated time moves back to when the bill opened (up to 3 hours).
  • While the bill is open, 10Seat keeps the table occupied beyond the booked end time, in 15-minute steps, up to 12 hours after seating.
  • A bill voided in Lightspeed sends no message; 10Seat notices it has disappeared from Lightspeed's open bills and closes it anyway (about every 20 seconds while a Host app is open, otherwise about every minute).
  • A paid bill voided after closing is taken back out of the party's spend.

How to set it up

  1. Connect and link the location (see "Connect Lightspeed K-Series").
  2. Map floors and tables (see "Map K-Series floors and tables").
  3. Make sure Push reservations to K-Series is on. It is switched on automatically when you connect; an admin can turn it off or on.

Good to know

  • With Push reservations to K-Series off, Lightspeed → 10Seat keeps working but nothing goes to the POS. This is the most common reason for "it only syncs one way".
  • A party ended in Lightspeed with nothing paid can be seated again automatically if a new bill opens on its table (or carries its reservation) within 30 minutes.
  • If Lightspeed refuses the deposit part of a push, 10Seat sends the reservation again without the deposits, so the booking still reaches the POS — but the prepaid amount does not. Apply it on the POS by hand and tell 10Seat support, who can check every deposit for your location.
  • At K-Series venues, a seated party with no bill open in Lightspeed (neither its own nor on its table) completes at the end of its booked time.

Troubleshooting

A guest paid a deposit but it is not on the bill in Lightspeed Check the reservation is on the POS and that the payment shows as paid in 10Seat. A deposit paid after the booking was confirmed is sent as soon as the payment is confirmed. If it still doesn't appear, Lightspeed may have refused it — apply it on the POS and contact 10Seat support with the reservation.

A refunded deposit is still shown on the POS Refunds are sent once the refund is settled. If it doesn't update, contact 10Seat support.

The party stays seated in 10Seat after paying Another bill linked to the party is still open in Lightspeed (for example a split bill). Close every bill; the reservation completes after the last one.

Guest spend is missing on the guest profile The bill was not linked to a reservation (for example opened on an unmapped table, or before the guest was seated). Map the table; for past bills, contact 10Seat support.
