Capacity Planning: online-bookable tables, party sizes and seating layouts
Capacity Planning controls which tables the widget may use, which party sizes each table takes, and how tables combine. It is the first place to look when the widget offers fewer seats than your room has.
Where to find it
Backoffice › Table Management › Capacity Planning. Pick a section at the top to see its floor plan.
What it does
The header has four tools:
- Table Linking: create table groups so large parties can be seated over neighbouring tables (see "Combine tables for larger parties").
- Online Reservable: click tables to switch them between Online bookable (green) and Manual assignment only (grey). The summary shows Auto-assignable tables and Manual-only tables. Use Enable All for Auto / Disable All for Auto for a whole section. Manual-only tables are never offered online; your team can still seat guests there.
- Capacity Simulator: enter a guest count to see which single tables and combinations fit (Perfect Matches and Acceptable Matches where you lose seats).
- Seating configs (advanced): full-room layouts built from one table group.
Click a table to open Table Configuration:
- Minimum Party Size: the fewest guests this table accepts.
- Additional Seats: extra seats beyond the base capacity, such as pull-up chairs. The table then takes up to seats + additional seats.
How to keep a table for walk-ins only
- Go to Table Management › Capacity Planning and click Online Reservable.
- Click the table so it turns grey (manual assignment only).
- You see "Table disabled for auto-assignment". The widget stops offering it.
Seating configurations (advanced)
Seating configurations replace the automatic table combinations with layouts you define, for example "6+4" and "4+4+2" for one room.
- Open Seating configs and choose a Source table group.
- Click Generate layouts and review them under Preview generated layouts, then Use these layouts, or build your own with Add custom layout. Saved units let you reuse the same table set in several layouts.
- Per unit set Min party, Max party and whether it is Online bookable.
- Optional Online caps per slot: the maximum number of online bookings per party size in the same time slot (for example max one party of 2). Empty means no cap.
- Switch on Use seating configurations for widget capacity and click Save.
Good to know
- With Use seating configurations for widget capacity on, online capacity uses only those layouts; other table groups are not used for online booking at this location. This is enforced for widget, microsite and public widget bookings.
- When an online cap is reached, guests see that the party size is no longer available online for that time.
- After saving, you see "Capacity profile will update shortly." The widget's availability refreshes in the background.
- Table types also set party-size limits per type (see "Set up table types").
Troubleshooting
The widget offers fewer tables than I have Some tables are manual-only. Open Online Reservable and check which tables are grey.
Parties of 2 can't book a 4-top The table's Minimum Party Size is above 2, or its table type has a minimum party size.
Online bookings stopped using some table groups Use seating configurations for widget capacity is on. Online capacity then only uses those layouts. Switch it off or add layouts for the missing tables.
"No profile yet. Choose a table group and generate layouts." Create a table group in Table Linking first, then select it as the Source table group.
"Failed to update table auto-assignment setting" or "Permission denied. Please check your access rights." Your account may not be allowed to change this table. Ask an Owner or Admin to make the change, or contact 10Seat support if it keeps failing for them.
