Customise the gift voucher email

Add-on: Gift vouchers (included in Start and higher)BackofficeFor managers

Needs: Owner or Admin to save changes

When a voucher is created, the recipient gets an email with the voucher code, value, expiry date and personal message. You can match its look to your brand.

Where to find it

Backoffice › Settings › Gift Vouchers › Voucher email tab.

What it does

The tab has three parts:

  • Message — Email Subject and the list of variables you can use: {{code}}, {{amount}}, {{expiryDate}}, {{message}}, {{recipientName}}, {{restaurantName}}, {{restaurantAddress}}, {{restaurantPhone}}, {{restaurantEmail}}.
  • Look & feel — Background Color, Voucher Details Color (accent for the voucher card border and details), Header Background Color, Header Text Color, Border Radius (px), Font Family (DM Sans by default, or System Default, Helvetica Neue, Georgia, Courier New, Trebuchet MS, Verdana), and Logo (Upload Logo or enter a logo URL, with Logo Width (px) and Logo Height (px)).
  • Live preview — shows the email with Sample data.

Which emails are sent:

  • Recipient email ("Gift Voucher") — for every voucher: online purchases, vouchers created by staff, and when you click Resend email. It includes a link to view the voucher online.
  • Buyer confirmation ("Gift Voucher (Buyer)") — only for online purchases, sent to the buyer with a link to the voucher.
  • Voucher Purchase Confirmation (PDF) — for online purchases; see "Purchase confirmations for gift vouchers".

Emails are written in your location's language and come from your restaurant's name. They appear in Backoffice › Communication Centre › Email Activity as Gift Voucher and Gift Voucher (Buyer).

How to set it up

  1. Open Settings › Gift Vouchers › Voucher email.
  2. Pick your colours, font and border radius, and upload your logo.
  3. Check the Live preview.
  4. Click Save changes.

Good to know

  • The logo you set here is also used on your voucher shop.
  • The Email Subject field currently only takes effect for locations that also have a fully custom email body (set up by 10Seat). Otherwise the email uses the standard subject, for example "Gift voucher from ", translated into your location's language.
  • Resend email sends the recipient email again with the voucher's original value and current expiry date.
  • Vouchers created by staff with Cash or Card send only the recipient email (no buyer confirmation, no purchase confirmation).

Troubleshooting

The guest says they never received the voucher Check the email address on the voucher in Backoffice › Gift Vouchers. Ask the guest to check spam. Then use Resend email (envelope icon) in the voucher list. Email Activity shows whether it was delivered.

Resend says "Email resent successfully" but nothing arrives If the address previously bounced hard (it does not exist or rejects mail), 10Seat does not send to it again. Check Email Activity, correct the address with the guest, and contact support if the voucher needs to go to a different address.

My subject line isn't used See Good to know: the standard, translated subject is used unless your location has a custom email body.

"Logo uploaded but failed to save. Please click Save." The image uploaded but the page wasn't saved. Click Save changes.

"Failed to load logo image" The logo URL can't be opened. Upload the file instead, or check the URL is public and points to an image.
