Create a reservation experience

Add-on: Reservation experiencesBackofficeFor managers

Needs: Owner or Admin

An experience is a bookable option with its own name, description, image, duration, shifts, seating area and party-size rules. This article covers the main settings; scheduling and payments have their own articles.

Where to find it

Backoffice › Reservation experiences (sidebar) › Create Experience

What it does

Each experience appears as a card in the booking widget (once experiences are shown in the widget) and is offered only within its own schedule, shifts, seating and party-size limits. The reservation keeps the experience, so your team sees which experience was booked, and any message you add under Email Content is included in the guest's confirmation email.

How to create an experience

  1. Click Create Experience.
  2. Active – leave it on to offer the experience.
  3. Image – Add Image to upload one (PNG, JPG, GIF up to 10MB) or pick a stock image.
  4. Name – for example "Chef's Menu". Guest Description – shown in the booking flow; you can add links (https:// and mailto: only).
  5. Time & Availability – choose the window, weekdays and hours (see "Schedule an experience").
  6. Duration – how long the table is held, at least 15 minutes, in steps of 15.
  7. Shifts – select at least one shift the experience runs in.
  8. Space / Capacity & Party Size:
    • Areas – the sections where it can be seated, and/or
    • Tables – specific tables (optional; combines with the areas).
    • Min Size and Max Size (optional), or switch on Exact party size for a fixed number of guests.
  9. Commercial – optional deposit or ticket price (see "Take a deposit…").
  10. Display Settings – Suggest in widget, Show duration in widget, Disable squeeze slots in widget, Marketing code, and Show on Hospitality Intake if you use that add-on.
  11. Email Content – Message shown in guest confirmation email, and Attach file to confirmation email (a PDF or image sent with the confirmation).
  12. Click Save.

Good to know

  • In the list, Active experiences can be dragged to set the order shown in the booking widget. Inactive ones are listed separately.
  • Edit dates on a card changes only the schedule; Test in bubble widget opens the widget to try it.
  • An experience whose dates have passed is marked Expired: "Still active here, but no longer shown in the widget".
  • The Table Assignment section is marked Coming Soon.

Troubleshooting

"Experience name is required" / "Duration must be at least 15 minutes" / "At least one shift must be selected" Fill in the field mentioned and save again.

"Select at least one area or one specific table for this experience" Choose an area under Areas or a table under Tables.

"No shifts configured. Please set up operating hours first." Create shifts under Settings › Location hours and shifts first.

A warning says "… selected table(s) are not bookable online" The chosen tables are closed for online booking, so the widget cannot offer the experience on them. Click the button in the warning (for example Open for online booking by default or Open for this period) to open them.

The experience shows in the list but not in the widget See "Turn on reservation experiences" for the full checklist (widget switch, schedule, party size, tables).
