Complete the legal details needed to sell gift vouchers
Before a location can sell gift vouchers, 10Seat needs the details that are printed as the seller on every Voucher Purchase Confirmation, plus your acceptance of the gift voucher terms. Until these are done, gift vouchers, the online shop and the widget button cannot be switched on.
Where to find it
- The checklist Complete your legal details to sell gift vouchers appears on Backoffice › Settings › Add-ons › Gift Vouchers (after you try to enable) and at the top of Backoffice › Settings › Gift Vouchers.
- The details themselves are entered in Backoffice › Settings › Location Settings › Business & billing details (the checklist button Business & billing details takes you there).
What it does
The checklist has five items, each marked Missing or Done:
- Legal entity name — the Statutory company name field.
- Registered address — the Registered office fields (street, postal code, city, country).
- VAT number (valid format) — the VAT number field. A number in the wrong format shows The VAT number doesn't look valid.
- Document number prefix — 2 to 6 capital letters or digits, used in document numbers such as HDB-V-2026-000123. The checklist shows a Suggestion based on your company name.
- Accept the gift voucher terms — a clause stating that 10Seat issues purchase and cancellation confirmations in your name and on your behalf, that you are the seller and receive the payment directly, and that you remain responsible for your legal details and the VAT treatment of vouchers.
When everything is complete the panel reads You're ready to sell gift vouchers.
How to set it up
- Go to Backoffice › Settings › Location Settings and scroll to Business & billing details.
- Fill in Statutory company name, VAT number, Document number prefix and the Registered office address. Save.
- Go back to Settings › Add-ons › Gift Vouchers (or Settings › Gift Vouchers).
- Under Accept the gift voucher terms, tick I accept and click Accept terms.
- Enable gift vouchers.
Good to know
- The document number prefix is locked once the first voucher document has been issued: Location Settings then shows Locked: voucher documents have already been issued with this prefix.
- When the terms change, 10Seat asks you to accept the new version; the next time you switch gift vouchers on you will see the terms item as Missing again.
- Purchase confirmations show no VAT: gift vouchers are sold as multi-purpose vouchers and VAT is charged when the voucher is used.
- These requirements apply when switching selling on. 10Seat support can switch gift vouchers on for you while setting up your account.
Troubleshooting
"Only admins can accept the terms." Accepting the terms needs a user with the Admin role. If you are the Owner and see this, contact 10Seat support.
"Could not save your acceptance. Please try again." The acceptance did not save. Reload the page and try again; if it keeps failing, contact support.
VAT number is filled in but still shows as Missing or invalid The digits must match the VAT format of your country. For EU countries the country code (for example BE) is added automatically if you leave it out, based on the country of your registered address — so check that the country is right too.
I can't change the document number prefix It is locked after the first document. This keeps the numbering series unbroken. Contact 10Seat support if it really needs to change.
"Could not check your details. Reload the page to try again." The checklist could not load. Reload the page.
