Redeem a gift voucher (full or partial, including expired vouchers)
When a guest pays (part of) the bill with a gift voucher, staff record the redemption in 10Seat so the balance goes down. A voucher can be spent over several visits until its value runs out.
Where to find it
- Backoffice › Gift Vouchers › Redeem voucher icon on the voucher's row.
- Host App › Gift Vouchers › Redeem voucher on the voucher card.
- Host App › reservation details › Gift vouchers section › Redeem (for vouchers linked to that reservation).
What it does
The Redeem Gift Voucher window shows the Voucher Code, Original Amount, Remaining Balance and Recipient, and lets you choose:
- Partial — redeem part of the balance. Enter the Amount to Redeem (the maximum is shown).
- Full — redeem the entire balance. The window warns that the voucher will be marked as fully redeemed.
You can add Notes (Optional). The button reads Redeem . Afterwards you see Successfully redeemed ; the remaining balance updates, and the voucher becomes Redeemed when the balance reaches zero. Every redemption is recorded in the transaction history with who did it.
When you redeem from a reservation in the Host App, the window shows Booked against the reservation of () and the redemption is recorded against that reservation.
How to redeem a voucher
- Find the voucher (search by code, name or email).
- Click Redeem voucher.
- Choose Partial and enter the amount, or choose Full.
- Add a note if useful (for example the bill number).
- Click Redeem .
How to redeem an expired voucher
Expiry is not a hard block for staff. If the expiry date has passed:
- The window shows This voucher expired on . You can still redeem it after confirming.
- After you click Redeem, a second window asks This voucher has expired — Are you sure you want to redeem ?
- Click Yes, redeem to go ahead, or No to stop.
The history marks such a redemption with Redeemed after the expiry date. If you prefer, extend the voucher first (see "Change or extend a gift voucher's expiry date").
Good to know
- Redeeming only records the use of the voucher. It doesn't take a payment — close the bill on your till as usual.
- You can't redeem more than the remaining balance.
- There is no undo for a redemption in the Backoffice or Host App. Contact 10Seat support if a redemption was recorded by mistake.
- Redemptions made through a connected till or partner system using the 10Seat API appear in the history as POS System with a POS Reference. That route refuses expired vouchers — extend the voucher or redeem it in 10Seat instead.
- The amounts in the window are shown in your location currency.
Troubleshooting
"Amount cannot exceed remaining balance of …" Enter an amount up to the remaining balance, or choose Full.
"Please enter a valid amount" The amount must be greater than 0.
"Voucher has been cancelled" Cancelled vouchers can't be redeemed.
"Voucher has no remaining balance" / no Redeem button The voucher is fully used.
"Insufficient balance. Available: …, Requested: …" Someone redeemed part of the voucher in the meantime. Reopen it to see the current balance.
"Failed to redeem voucher. Please try again." A temporary problem. Check the voucher's history before retrying, so you don't redeem twice.
