Link gift vouchers to reservations

Add-on: Gift vouchers (included in Start and higher)Host AppFor hosts

Needs: Any staff user with access to the location; the widget option is set by an Owner or Admin

A link records that a guest intends to pay (part of) their reservation with a gift voucher, so the team sees it during service. Linking never charges the voucher — the balance only changes when staff redeem it, usually when the bill is settled.

Where to find it

  • Host App › reservation details › More › Link gift voucher…
  • Host App › reservation details › Gift vouchers section (shows linked vouchers)
  • Host App › Gift Vouchers › Link to reservation icon on a voucher card
  • Booking widget: "I have a gift voucher", switched on with Guests can add a gift voucher when booking in Backoffice › Settings › Gift Vouchers › Rules

What it does

From a reservation: Link a gift voucher lets you search by Voucher code or name (recipient / buyer). Vouchers in the guest's name are suggested first (Matching ). Each result shows who it is from, the remaining balance of the original value and valid until date. Click Link.

From a voucher: Link to a reservation searches upcoming reservations by Guest name or email (upcoming reservations), and suggests Upcoming bookings by the recipient or buyer. The voucher card then shows Reservation · <date/time>.

On the reservation: the Gift vouchers section shows the total available, each linked voucher with its balance and validity, and whether it was Added by the guest when booking or Linked by . Each has Redeem (records the redemption against this reservation) and Unlink.

From the booking widget: when the option is on, the guest details step shows I have a gift voucher. The guest enters the Gift voucher code and clicks Check. They see Valid voucher · available, or a message that the voucher has expired, has been fully used or can't be found, plus the note Nothing is charged now — the restaurant deducts your voucher from the bill. A valid code is linked to the new reservation automatically. Guests who open Book a table with this voucher on their voucher page get the code filled in for them.

  1. Open the reservation in the Host App.
  2. Click More › Link gift voucher….
  3. Search for the voucher and click Link. You see Gift voucher linked.
  4. When the bill is settled, click Redeem in the reservation's Gift vouchers section.

Good to know

  • Only vouchers of the same location can be linked, and only vouchers with a balance left. Staff may link a voucher past its expiry date; guests in the widget can't.
  • A reservation can hold up to 20 linked vouchers, and a voucher can be linked to up to 20 reservations.
  • An unknown, expired or spent code typed in the widget doesn't stop the booking — the reservation is simply made without the link. If the code check fails because of a connection problem, the guest is told the code will still be added; it is linked if valid.
  • Linking is done in the Host App. The Backoffice voucher list doesn't show links.

Troubleshooting

"No active voucher matches …" No voucher with a balance matches the search. Check the code, or search by the buyer's name.

"Could not link the gift voucher" The voucher may belong to another location, be fully used or cancelled, or the reservation already has 20 vouchers.

The guest entered a code in the widget but nothing is linked The code wasn't valid for this location at booking time (unknown, expired, spent or cancelled), or the option was off. Link it by hand from the reservation.

"Link gift voucher…" doesn't appear in the More menu The gift voucher add-on is off for this location.
