Gift vouchers imported from Formitable or Zenchef

Add-on: Gift vouchers (included in Start and higher). The import itself is done by 10Seat support.BackofficeFor owners

Needs: Any staff user with access to the location (to view and redeem imported vouchers)

When you move to 10Seat from Formitable or Zenchef, 10Seat support can import your existing gift vouchers so guests can keep using them. This article explains how to prepare the export and what imported vouchers look like afterwards.

Where to find it

  • The import is done by 10Seat support. Contact support to start it.
  • Imported vouchers appear in Backoffice › Gift Vouchers and Host App › Gift Vouchers like any other voucher.

What it does

What support needs from you

  • Formitable: the gift voucher export from the Formitable back office as an Excel file (named like vouchers_YYYYMMDDHHMMSS.xlsx). It contains the voucher code, price, expiry, status, buyer, recipient and message. Formitable caps one export at 1,000 rows, so larger voucher lists come in several files.
  • Zenchef: the gift voucher export with the voucher code, status, balance, currency, buyer, purchase date, recipient and expiry date.

What an imported voucher looks like

  • It gets a new eight-character 10Seat code. The old code from your previous system is kept as its customer code, so you can search for it in the voucher list, and guests can still use the old code on the voucher page and in the booking widget.
  • The status comes from the export: open vouchers become Active (or Expired if their date has passed), used vouchers Redeemed, expired ones Expired, cancelled ones Cancelled.
  • The transaction history shows an Issue entry "Imported from Formitable" or "Imported from Zenchef", plus a Redeem or Expire entry for vouchers that were already used or expired.
  • Formitable buyers are linked to guest profiles (existing ones are matched, new ones created).
  • No emails are sent to guests during the import.

Good to know

  • Formitable balances: the export has the voucher price but no partial balance. Open vouchers are imported at their full price. If guests had already spent part of a voucher in Formitable, redeem that part in 10Seat after the import.
  • Formitable expired vouchers are imported with no balance left, so they can't be extended. If you want to honour one, create a new voucher by hand.
  • Zenchef vouchers are imported with their remaining balance as their value; the original value isn't kept. They have no recipient email, so Resend email can't reach anyone — create a new voucher if a guest needs the email.
  • Imported vouchers have no purchase confirmation. Create one on request.
  • Running the same import again skips vouchers that were already imported.
  • Imported vouchers count in the gift voucher report on the day of the import.

Troubleshooting

A guest's old voucher code isn't found Search the voucher list for the code, the guest's name or email. Codes are not case-sensitive. If the code still isn’t found, the voucher may have been left out of the export (for example beyond the 1,000-row limit) — contact support with the code.

An imported voucher shows the full value but the guest already used part of it See Formitable balances above: redeem the part that was already spent.

The report shows a spike in sales and redemptions in the import month Imported vouchers are recorded on the import date. Choose a date range that excludes it.
