Brand your guest emails and add custom messages (Email Templates)
Email Templates controls how your reservation emails look — logo, colours, font — and lets you add your own text to confirmations, cancellations, payment and deposit emails, in English, Dutch and French.
Where to find it
Backoffice › Settings › Communications (section) › Email Templates.
What it does
Branding (only used when Use Custom Email Template is on)
- Logo: Upload Logo or Or enter logo URL directly. An uploaded logo is saved straight away.
- Colors: Background Color, Accent Color (buttons, links, highlights), Header Background Color, Header Text Color.
- Design Options: Border Radius (px) and Font Family — DM Sans (Default), System Default, Helvetica Neue, Georgia (Serif), Trebuchet MS, Verdana.
When the custom template is off, "Emails use the default 10Seat template with default branding."
Custom messages (always editable, each with English, Dutch and French)
- Confirmation email message — shown after the booking details in every confirmation. Under Also include this message in: you can add it to Reminder emails and Reconfirmation emails.
- Per-service confirmation messages — a different confirmation text per service (shift), for example lunch vs dinner. Leave a service empty to use the general message.
- Payment received email message — sent automatically when Mollie or MultiSafepay confirms a payment.
- Deposit instructions (confirmation) — shown on confirmations while a deposit is still due. A Pay now button is added automatically.
- Deposit reminder email message, Auto-cancellation email message, No-show email message and Cancellation email message.
Email Preview shows each email with sample data: Confirmation, Cancellation, Payment received, Staff Notification, Post-Visit Review, Waitlist Confirmation and Waitlist Notification.
How to set it up
- Open Settings › Email Templates and select the right location.
- Turn on Use Custom Email Template to use your own branding.
- Upload your logo and pick your colours and font.
- Open Confirmation email message and type your text in English, Dutch and/or French. Use the toolbar for bold, italic and underline; press Enter for a new paragraph.
- Fill in any other messages you need.
- Check the preview tabs, then click Save Settings. You see "Settings saved successfully".
Good to know
- The guest gets the message in their booking language when you filled it in; otherwise English, then any language you filled in.
- Reminder and reconfirmation emails use the general confirmation message only, not the per-service ones.
- If you rename a service under hours and shifts, update its per-service message — it is linked to the service name.
- Staff notification emails always use the default 10Seat design.
- Emails are sent under your location name; when a guest replies, the reply goes to your location's contact email.
Troubleshooting

"Logo uploaded but failed to save. Please click Save." The image uploaded but wasn't stored on the location. Click Save Settings. If it fails again, you probably don't have the Owner or Admin role.
