Check whether a guest received an email (Email Activity)
Email Activity lists every email 10Seat sent for your location — confirmations, reminders, cancellations, review requests, newsletters, staff emails — with its delivery status. Use it when a guest says they never got an email.
Where to find it
- Backoffice › Communication Centre › Email Activity.
- For one guest: Backoffice › Guests › open the guest › Email history.
- In the Host app: menu › Email delivery — the confirmation status of each reservation, with Send now / Resend. (In Simple display mode this menu item is hidden; switch it on under the Host app display settings.)
What it does
- Summary cards: Total Sent, Delivered, Opened, Clicked, Bounced, with rates.
- Filters: status (All Status), template (All Templates), type (All Emails, Customer Only, Internal Only) and a date range. By default it shows Customer Only for the last 30 days.
- Click an email for Email Details: recipient, subject, template, status, Sent At, Delivered At, Opened At, Clicked At, Error Message, the Activity Timeline and the Sent email exactly as the guest received it.
Statuses:
- Sent / Queued — handed to the email provider.
- Delivered — accepted by the guest's mail server.
- Opened / Clicked — the guest opened it or clicked a link (not every email app reports this).
- Soft bounced — temporary problem, such as a full mailbox.
- Hard bounced — the address doesn't exist or refuses mail.
- Failed — could not be sent.
How to check an email for a guest
- Easiest: open the guest's profile and look at Email history. Click an email to see its timeline.
- Or open Email Activity, set the date range to the day the email should have gone out, and pick the Template (for example Reservation Confirmation).
- Use the search box ("Search by email or subject...") and page through with Next page. Search only looks through the emails on the page you're viewing.
Good to know
- After a hard bounce or a spam complaint, 10Seat stops sending to that address for 90 days to protect your sender reputation. Those emails are not sent and don't appear as new entries.
- Internal Only shows staff new-booking notifications and user invitations. Other team emails (such as the daily report or waitlist staff emails) appear under Customer Only / All Emails.
- Emails are sent from a 10Seat address under your location name. Guest replies go to your location contact email.
- In the Host app, a reservation's Email communication section shows its emails and lets you re-send the confirmation.
Troubleshooting
"The guest says they didn't get the confirmation"
- Check the email address on the reservation for typos. Fix it and use Re-send the confirmation email in the Host app.
- If the status is Delivered or Opened, ask the guest to check spam/promotions.
- If Hard bounced, the address is wrong — get a correct one.
- If Soft bounced, try again later.
- If there's no email at all, check that Send confirmation on booking is on under Email Automations, and that the reservation has an email.
A guest with a corrected address still gets nothing If the old (wrong) address bounced, that's fine — the block is per address. If the same address hard-bounced or reported spam in the last 90 days (this can also have happened with another restaurant using 10Seat), emails to it stay blocked. Ask the guest for an alternative address.
I can't find an email with search Search only covers the current page. Narrow the date range, choose the template or status, set type to All Emails, then search again.
