Use Coco, the AI assistant, in the backoffice
Coco is the AI assistant built into 10Seat. You ask it in plain language — "summarize tonight", "block online booking from 16:00 to 18:00 on Saturday", "which guest chats need attention?" — and it looks things up or, after you confirm, makes the change for you.
Where to find it
- The Coco button (robot icon, "Open Coco") in the top bar of the backoffice opens the Coco panel on any page.
- The Setup page in the sidebar has Coco on the left, ready to help you set up your account ("Setting up with you").
What it does
- Answers questions about your service, reservations, guests, waitlist, reviews, guest chats and emails, using live data for the selected location.
- Makes changes for you — reservations, day availability, guest profiles, settings — and asks for your approval first where needed (see below).
- Works with your role: Coco can only do what your own permissions allow. Otherwise it answers "You do not have permission to use that Coco capability".
- Tells you when something is outside what it can do, and logs the request so 10Seat can see what customers are asking for.
How to use the Coco panel
- Select the location in the backoffice, then click the Coco button in the top bar.
- Type your question, or click one of the suggested prompts under Ask Coco to get started. Press Enter to send (Shift+Enter for a new line).
- To add context, attach images or PDFs with the attach button (up to 5 per message, each up to about 750 KB), or record a voice note with the microphone button.
- Your conversations are saved under Chats. Use New chat to start fresh and Archive chat to tidy up.
How Coco asks before it changes something
When Coco wants to change something it shows Coco is waiting for confirmation — "Review these changes before applying them." Each action shows a risk level (read, low, medium, high, irreversible) and a summary of what will change. Click Confirm to apply, or Cancel. On the Setup page the same card shows "… · needs your OK" with Apply and Not now.
Guest-facing and high-impact actions always need confirmation: sending a guest chat reply or an email, cancelling a reservation, assigning tables, changing day availability, opening hours, booking rules, branding, widget, guest-app or email-automation settings. For other changes (creating or editing a reservation, changing its status, adding a note, updating a guest profile) confirmation depends on Confirm before applying changes in Settings › Coco AI Assistant — on by default and recommended.
Good to know
- Without the add-on, the panel shows how many free requests are left today, for example "2 of 3 free Coco requests left today." Replying "confirm" or "cancel" does not use a request.
- Coco works on the location selected in the backoffice.
- Review AI output before relying on it for critical changes; Coco is in beta.
Troubleshooting
"You've used today's free Coco requests." The location has used its 3 free requests for today. They reset the next day (venue time), or an admin can enable the Coco AI Assistant add-on for unlimited use.
"Select a location to chat with Coco." Select a location in the backoffice first.
"You do not have permission to use that Coco capability" Your role doesn't include the permission for that action (for example creating reservations). Ask an admin to adjust your role, or do it with a colleague who has it.
Coco says it can't do something It has no tool for that request. Do it yourself in the backoffice; see "What Coco can and cannot do".
An attachment or voice note didn't come through Only images and PDFs up to about 750 KB are accepted, and the same size limit applies to voice notes. Use a smaller file or a screenshot, keep voice notes short, or type the request.
