Manage a day's availability in the Host App (Day availability)

Included in all packages (the Pacing tab needs the Pacing Management add-on)Host AppFor hosts

Needs: Owner, Admin, Manager or Operator; changing pacing limits needs the "Manage pacing settings" permission (Owner and Admin by default)

Day availability lets the host team decide, for one date, which shifts, time slots, sections and tables can be booked online. It also shows how busy each slot is. Changes apply to the selected date only.

Where to find it

Host App › service screen › Availability button in the header. The button shows live status, such as the next busy slot ("19:00 · 18/20") or how many items are closed. On a closed day, use Manage availability on the closed-day screen.

If you don't see the button, the device is in Simple display mode. Switch to Advanced, or choose Custom and turn on Sections & online booking in the Host App settings under Display mode.

What it does

  • Week strip and shift cards. Pick a day of the week. Each shift card shows covers and bookings, the peak number of guests in house against your total seats, and a switch to Close or Reopen that shift for the date.
  • Time slots tab (called Pacing when pacing is on). One row per slot with:
    • a switch to close or open that time for online booking,
    • a Seated bar: seats in use at that time against your total seats,
    • an Arrivals bar (pacing only): covers or bookings arriving against the slot's pacing limit, with "left", "Full" or "over". Use Close all / Open all for the whole shift. With pacing, choose Covers or Bookings, adjust Default / slot for the shift, or raise and lower a single slot's Max.
  • Sections tab. Each section shows its tables, seats and reservations. Turn a section Online on or off, Close today, or tap tables to select them. With tables selected you can Close online or Open online for a Time window, Move their reservations, or Save as group.
  • Table groups tab. Saved sets of tables (they can span sections) that you can switch online or off, or move, in one go. Create one with New group.

How to close a time slot for tonight

  1. Tap Availability and select today in the week strip.
  2. Pick the shift, then switch off the slot you want to close. The row shows "Not applied".
  3. Tap Apply in the red bar at the bottom. You see "1 change applied". Online availability is recalculated.

Good to know

  • Slot and pacing changes are collected and saved together when you tap Apply. Tap Discard to throw them away. If you close the window with unapplied changes, you are asked to confirm.
  • "Online off" blocks widget bookings only. Staff can still seat or book guests on those tables.
  • On a phone the dialog uses a compact layout: shift cards side by side, denser slot rows, and a full-width Discard/Apply bar.
  • Without pacing, the slot row shows how full the room is, for example "12% of seats in use".
  • Pacing changes here are date exceptions: they don't change your weekly pacing in the backoffice.

Troubleshooting

"You can view pacing but not change it. Ask an owner or admin to adjust the limits." Your role doesn't include "Manage pacing settings". An Owner or Admin can change the limits or give your role that permission.

"This day is fully closed. Reopen the day first in Day planner." The whole date is closed. Reopen it in Backoffice › Planning › Service Calendar, then manage slots here.

"{shift} is closed — Online booking is off for this shift." Tap Reopen {shift} to manage its time slots again.

The Pacing tab is missing Pacing Management is not switched on for this location; you see the Time slots tab instead.

I closed a slot but guests still see it Check you tapped Apply. The widget then refreshes in the background, which can take a moment.
