Manage users across locations (HQ User Management)

Multi-location accountsBackofficeFor owners

Needs: Company-wide Owner or Admin; settings.users to make changes

In a restaurant group, not everyone should see every venue. HQ › User Management shows who has access to which location, what role they have at each one, and which location opens for them in the Host App. You can also limit an admin to their own venues.

Where to find it

Location switcher › HQ Dashboard, then User Management in the HQ sidebar. The page title is User Management ("Manage user access across all locations").

What it does

  • The table lists every user with Role, Assigned Locations, Primary Location and Actions. Use Search users... to filter.
  • Admins limited to some venues have a Location only badge ("Admin on their assigned locations only"). Users with every location show All locations.
  • Pending invitations are listed with their expiry date and a Cancel button.
  • Invite User sends an invitation (First Name, Last Name, Email Address, Role). People invited here get access to all locations. Use Manage Access afterwards to narrow it down.
  • Manage Access opens Manage Location Access for one user:
    • Location Access: tick the locations they can use.
    • A role dropdown per ticked location. Leave it on Company role to use their normal role, or pick Admin, Manager, Operator or Viewer for that location only.
    • Admin reach (only for Owners and Admins): Whole company (all locations) or Assigned locations only.
    • Primary Location (Host App): the location that opens in the Host App, chosen from their ticked locations.

How to change someone's access

  1. Click Manage Access in the user's row.
  2. Tick or untick locations under Location Access.
  3. Optionally choose a different role for a location.
  4. For an admin, choose the Admin reach.
  5. Choose the Primary Location (Host App).
  6. Click Save Changes. You see "User access updated successfully".

Good to know

  • Assigned locations only keeps every admin power, but only on the ticked locations. These admins can't see other locations, manage company members or billing, open HQ or create locations.
  • A per-location role doesn't apply to Owners and Admins. Their company role always applies.
  • The company role itself (for example changing a Manager into an Admin) can't be changed here. Contact 10Seat support.
  • Removing a person from the company isn't possible here either. Contact 10Seat support.

Troubleshooting

"Tick at least one location above, or this user will have no access at all." You set Assigned locations only without ticking a location. Tick at least one.

"Failed to update user access" You may lack the Manage users and invitations permission, or the connection failed. Retry, or ask your account owner.

The Manage Access and Invite User buttons are greyed out Your role doesn't include Manage users and invitations.

A user's Primary Location dropdown is empty Only ticked locations can be the primary location. Tick a location first.

A colleague can still see a location I removed Ask them to sign out and sign in again so their access is reloaded.
